To integrate Cybake with Xero for the first time you need to complete both steps outlined below:
1. Add Cybake products into Xero*
*If you already have products in Xero and they match the Cybake codes skip to the end
a. In Cybake go to Outputs / Management Reports / Add Report
b. Choose output type 'Product List & Margins', add a name and Save
c. Run the report then download & open
d. Go to Xero and navigate to Business / Products & Services
e. Choose Import / Items:
f. Download the import template file:
g. In Excel open the Xero template file and copy the product codes/names from the report you've downloaded from Cybake into columns A & B, then for each product add the Sales Account Code (Column I) and the Sales Tax Rate (Column J). Please check with your accountant or your Xero chart of accounts if you're unsure of what to add:
h. Save. Then on the Xero Import page file go to Browse and select the file, then Continue
i. Xero will then show a confirmation page showing all the products that will be imported:
j. If there are any errors check that the account codes/tax rates are added and saved on the file, and that the right tax codes are added in Xero (see step 1). Otherwise press Complete Import.
k. Xero is now ready to import invoices from Cybake.
NB: When you add new products in the future add to Xero with the account code and tax type too.
If you already have products in Xero and they match Cybake
If you already have products in Xero and they match with Cybake you don't need to import them but you need to make sure that every product has a tax code and account code assigned to it. To do this:
a. In Xero go to Business / Products & Services and click Export / CSV:
b. Open this file and add the Sales Account Code (Column I) and the Sales Tax Rate (Column J). Please check with your accountant or your Xero chart of accounts if you're unsure of what to add. The sales tax rate needs to match the Cybake one that you added to Xero in the first step.
c. Save this file and then go to Import, select this file and continue.
d. Xero will show you a confirmation page showing all the products that will be updated. Press complete.
NB: When you add new products in the future add to Xero with the account code and tax type too.
Once these steps are complete with the tax codes and products matching (and with the products having account codes and tax codes in Xero), your Xero will be ready to import invoices from Cybake.
